Data requests & deletion

1. Submit a request

Email support@ultimmarketing.com with the subject “ULTIM Leads data request”, or use the postal contact identified in the Legal & privacy center. State whether you are an account user, authorized administrator or a person contacted by a customer; describe the request and workspace or business concerned. Do not send passwords, keys, identity documents, full case files or medical records in the initial message. This is a support-assisted process, not an automatic deletion form.

2. Requests from leads

The business that collected your information generally controls its workspace record. Contact that business first if known. You may also contact ULTIM; we identify the relevant customer where reasonably possible, route the request and assist appropriately. Proportionate verification of identity and authority may be necessary. Knowing a phone number does not entitle a person to another customer’s records.

3. Meta and WhatsApp data

Use this same route to request removal of personal information processed through the Meta/WhatsApp integration. Identify the business and phone number or account with only the minimum necessary information. Disconnecting an integration or app permission does not erase earlier messages, recipient copies, provider records or customer-held records. We coordinate verified requests and explain limitations.

4. Export, deletion and retained records

Authorized customers may request available exports and instruct deletion. We confirm identity, scope, formats and timeline and handle requests within legal deadlines. Necessary billing, consent, security, dispute and legally preserved records may remain where permitted or required. Backups and provider copies can follow separate lifecycles; retained copies remain protected and are not restored for unrelated routine use. We explain material exceptions rather than promise instantaneous erasure everywhere.

5. Cancellation, archive and recovery

Cancellation, archiving and pausing are not requests to delete all data. Deletion can be irreversible and prevent recovery; export first where required. Recovery depends on records actually available and authorized access and cannot be guaranteed.

6. Response and review

We may request reasonable verification, acknowledge the request and explain the action, exceptions or next steps. Reply asking for review if you disagree. Rights to complain to an authority or pursue another legal remedy remain available. You need not create an account or consent to marketing to submit a request.

7. Request scope and safe verification

Clearly identify whether the request concerns an account, a particular workspace record, an export, a correction or all data within an authorized scope. We may ask for confirmation from an existing account contact or another proportionate method. We will not disclose data merely on the basis of a matching name, caller identity or public information. If an authorized agent submits a request, authority may need verification. Do not send sensitive identity documents until support explains why they are needed and an appropriate submission method.

8. Processing a deletion instruction

After confirming authority and scope, ULTIM assesses which records it controls as processor or controller, identifies applicable exceptions and coordinates available deletion or de-identification steps. An instruction can affect message visibility, attachment access, automation context and future recovery. Support will explain a material limitation when known. A valid legal hold can restrict deletion of specified records; it does not permit unrelated use. Completion of a ULTIM request does not prove erasure from a recipient’s device or a provider over which ULTIM lacks deletion control.

9. Timelines, limitations and review

Applicable legal response periods govern; extensions are used only where permitted with appropriate explanation. Complex requests, conflicting instructions and verification needs may require coordination, but do not eliminate a statutory deadline. Where a request is denied or limited, we explain the reason to the extent permitted and how to seek review. Where law permits fees or refusal for manifestly unfounded or excessive requests, we will explain the applicable basis rather than impose an undisclosed general charge. Contact support@ultimmarketing.com to follow up, referencing the original request without attaching unnecessary personal records again.
